Live Conference Photo Delivery: Same-Day, Real-Time and Face Search

Conference photos lose value by the hour. Here's how quickly you can have yours, from a gallery waiting in your inbox the next morning to speaker shots going out while the session's still running.

Why Speed Matters at a Conference

Most of the online buzz around a conference happens on the day. Delegates post from their seats and speakers share their own sessions. Sponsors want to show they were there while people are still talking about it. So timing counts with conference photos. One that turns up three weeks later ends up in an archive, but a shot that lands the same evening actually gets used.

You can choose from three levels of delivery. Most conferences only need the first.

Option 1: The Next-Day Edited Gallery

Every conference photography booking we take includes this as standard. We edit every image and deliver the lot within 24 hours, either through a password-protected online gallery, by FTP or by email. We’ll also send a shortlist of hero shots alongside the full gallery, picking out the frames we think your marketing team will reach for first.

For most events, that’s plenty. The photos are with you while the conference is still fresh in everyone’s mind, and your team can put a highlights post out the following morning.

Option 2: Real-Time Delivery While the Event Runs

Some briefs ask for more. If your comms team wants to post on LinkedIn and X as each speaker walks off stage, waiting until tomorrow won’t work. They’ll need images within minutes.

That’s where real-time delivery comes in. It’s an add-on that runs on Pixovex Live, software we built ourselves. We edit selected images on site and send them straight to your team while the conference carries on. It’s most useful when:

  • someone’s handling your social media, either at the venue or remotely, and is ready to post
  • sponsors have been promised same-day content in their package
  • your speakers are well known enough that their sessions get shared straight away

We’ll quote real-time delivery as part of your package, and the full gallery still arrives within 24 hours. It does rely on decent Wi-Fi or mobile data at the venue, so please flag it in your brief. Our conference photography checklist has a section on what to check with the venue beforehand.

Option 3: Face-Search Galleries for Delegates

We’re seeing more briefs where delegates need to find their own photos without any fuss. Handing them a shared gallery of two thousand images won’t help much. Most people give up a few pages in.

A face-search gallery fixes that. Delegates scan a QR code and take a selfie, and the gallery then shows them only the photos they’re in. We built the software ourselves instead of licensing someone else’s, which means we can adapt it to suit your event.

It’s strictly opt-in. Nobody gets matched to a photo unless they choose to scan the code and take that selfie. And it works the other way round too. If a delegate would rather not appear, they can opt out of the shared gallery and we’ll remove their images. Your privacy notice should cover both of these, and for the wording, the ICO’s UK GDPR guidance is the place to start.

Face search pairs nicely with a conference headshot station, since delegates can then find their headshot and their candid shots from the day in one place.

Which Option Do You Need?

Here’s a rough way to decide:

  • Internal or member conferences: the next-day gallery will usually do the job.
  • Sponsored or public conferences with an active social presence: it’s worth adding real-time delivery.
  • Large conferences where delegates want their own photos: add a face-search gallery.

Each one affects the price in its own way. If you’d like the detail, our guide to what a conference photographer costs in London explains how we quote for extras.

FAQ

Common questions

How quickly can we get our conference photos?+

Our standard is a fully edited gallery within 24 hours. If you add real-time delivery, your team gets selected speaker and highlight shots during the event itself, often just minutes after we've taken them.

What is a face-search gallery?+

It's a gallery that shows each delegate only the photos they're in. They scan a QR code and take a selfie, and that's it. Nobody gets matched unless they decide to do both, so it's opt-in.

Can delegates opt out of appearing in the gallery?+

Yes. Anyone can ask to be left out of the shared gallery, whether on the day or later on, and we'll remove their images.

Does live delivery replace the full gallery?+

No, it sits on top of it. Live delivery is an add-on covering selected images during the event, and the full edited gallery still reaches you within 24 hours.
