How Much Does a Conference Photographer Cost in London?

Here's what conference photography in London actually costs, what nudges the price up or down, and what you should get for your money.

The Short Answer

Conference photography with Photo 8 starts from £450 per day in London. It’s one fixed price, not an hourly meter. For that you get the photographer for your conference day, professional editing and a full edited gallery within 24 hours. We aren’t VAT registered, so the figure on the quote is what you pay.

Most London conferences we price end up a bit above that starting point. The reasons are pretty predictable once you know them. Below we’ll go through what moves the price, what ought to be included as standard, and what to ask any conference photographer in London before you sign.

What Changes the Price

Nearly all the difference between one conference quote and the next comes down to four things.

How long your day runs. A half-day seminar with two speakers and a coffee break isn’t the same job as a 7:30 registration followed by a full plenary programme and an evening drinks reception. We price the day you’re actually running. If you wrap up at lunchtime, you’ll pay less than if things carry on into the evening.

How many rooms are on at once. One photographer can do one room properly. Once you add parallel breakout tracks, an exhibition hall beside the main stage, or sponsors who each want their session covered, you’ll need a second photographer. That’s the biggest single reason a quote goes up.

How many days. We quote multi-day conferences as a package, and the per-day figure drops. It really helps to give us the whole schedule at the start, pre-event dinner included, instead of booking day one and tacking the rest on later.

Extras. On-site delegate headshots, live photo delivery during the event, video highlights and instant printing all come on top of standard coverage. You don’t have to have any of them. If you do, they go into the same quote and won’t turn up later as a separate invoice.

What You Should Always Get

Whoever you book, the base price should buy you more than someone with a camera loitering at the back. For a conference, here’s what we’d count as standard:

  • Coverage of the whole programme you agree. That means keynotes, panels, the audience, networking and your branding, not only the main stage.
  • Professional editing on every image you receive, with colour and exposure corrected for the venue’s stage lighting.
  • Quick turnaround. Our edited galleries arrive within 24 hours, so you can post highlights while people are still talking about the event.
  • Usage rights for your marketing. Use the photos on your website, social channels, press releases and next year’s sales deck with no extra licence fees.
  • Insurance and backup kit, so if a camera body or memory card fails, it’s our problem and never yours.

If a quote looks cheap, check what’s missing from that list. A delivery time of “two to three weeks”, or a licence that only covers internal use, can make a low day rate pretty expensive in the end.

Extras That Earn Their Keep

Plenty of conferences don’t need any add-ons. A few, though, pay for themselves quickly.

On-site headshots. Set up a mobile studio between sessions and delegates and speakers walk away with a fresh profile photo, which they really do appreciate. Your team gets consistent headshots for the speaker page too. Our guide to running a conference headshot station shows how to set one up so the queue keeps moving.

Live delivery. Want your comms team posting speaker photos to LinkedIn while each session’s still going? Real-time delivery is what makes that happen. Our guide to live conference photo delivery and face-search galleries explains how it works and when it’s worth having.

Video highlights. A short highlight film shows prospective attendees what the room felt like, in a way stills can’t. We quote it alongside the photography, so there’s no separate booking.

FAQ

Common questions

How much does a conference photographer cost in London?+

Conference photography in London with Photo 8 starts from £450 per day. That gets you the photographer, professional editing and an edited gallery within 24 hours. Where the final quote lands depends on how long your day runs, how many photographers the room needs, and whether you'd like extras such as on-site headshots, live delivery or video. VAT is not applicable.

Do you charge by the hour?+

No. We quote per day or per event, so you'll know the full figure before you book. Hourly rates have a habit of creeping up on the day when a session overruns or the drinks start late. A day rate stays put.

Is a multi-day conference cheaper per day?+

Yes. We quote multi-day conferences as a package, with a discount on the per-day figure. Send us the full schedule when you get in touch and we'll price the whole event in one go.

Do we need two photographers?+

Usually not. If you've got up to a few hundred delegates in one main room, one photographer will cover it. A second makes sense once you're running parallel breakout tracks or an exhibition floor beside the plenary, or if a headshot station needs someone on it all day.

Are travel costs extra for London venues?+

No. We're based in London, so travel anywhere in the capital is already in the quote.
