Event photography covers everything from a 40-person board dinner to a 2,000-delegate conference. In practice it splits into a handful of distinct jobs: corporate event photography for parties, galas and brand activations; conference photography for speakers, stages and delegates; dedicated headshot sessions for team portraits; and the add-ons that sit around all three, like on-site printing and green screen studios.

The bookings we get fall into a fairly predictable set of formats: staff parties and Christmas dos, award and gala dinners, product or brand launches, trade shows and exhibition stands, PR and press events, charity balls, multi-day conferences with a full agenda of speakers and breakouts. How Much Does Event Photography Cost in the UK?

Most UK event photographers charge one of two ways: an hourly rate, or a fixed price per event. We do the second — one agreed price covering arrival and setup, full coverage on the day, professional editing, and delivery of your photo library within 24 hours. No clock-watching, no overtime surprises. Our £450 starting price sits in line with the NUJ’s independently reported photography rates — worth a look if you want a sense-check on what you’re being quoted elsewhere.

Corporate Events, Conferences & Awards Nights

This is the core of the job: parties, award dinners, brand launches, PR events and charity galas on one side; conferences, exhibitions and multi-day summits on the other. Each calls for a different rhythm. A gala wants flattering portraits and candid guest moments. A conference wants the speaker on stage, the audience reaction, the breakout conversations and the branding, all caught without getting in the way of the day’s schedule.

Need Photos Live, During the Event?

Standard practice across the industry — us included — is a fully edited library within 24 hours. For most events that’s plenty. But it’s a different job to a comms team live-posting to LinkedIn as each speaker finishes, where “24 hours” is nowhere near fast enough. It comes up often enough in conference and forum briefs that we built our own delivery software for it — Pixovex Live — so speaker images can go out while the event is still running, rather than waiting for the standard gallery.

You still get the full edited library and the curated shortlist afterwards; this runs alongside that, not in place of it. The add-ons are often what turns “good photos” into something guests actually remember. Corporate & Team Headshots

Headshots are their own kind of shoot: less about capturing a moment, more about consistency. We bring a full mobile studio — lighting, backdrop, the works — to your office or event, so the whole team gets photographed against the same setup on the same day, rather than everyone submitting a different selfie for the company site and LinkedIn.

How Far in Advance Should You Book?

For a fixed date — an annual conference, an awards night, a Christmas party — book as early as you can, ideally 6–8 weeks out. Good photographers get booked up around November and December, and again through the spring conference season. Headshots have more flexibility, but if you’re coordinating a large team’s diaries around a single shoot day, a few weeks’ notice makes it far easier for HR or office management to get everyone in one place. If your date’s close, it’s still worth asking — availability comes down to what else is booked that week, not a fixed lead time.

How to Choose the Right Event Photographer: A Quick Checklist

  1. Have they covered an event like yours before? A conference for 2,000 delegates and a 40-guest board dinner call for different skills — ask to see relevant work, not just a general portfolio.
  2. Who owns the images? Understand the licence you’re getting before you pay a deposit — UK copyright defaults to the photographer unless your contract says otherwise, so get it in writing.
  3. Do you need images live, during the event? A 24-hour turnaround and live delivery while the event’s still running are different services, and not every photographer offers the second one. If your team’s posting to social in real time, ask specifically — we do this on request, via our own Pixovex Live software.
